Programmes

Three clearly scoped programmes. Each produces a written output the family keeps. Nothing is drafted, interpreted or submitted to anyone.

REF 01

Records Location Session

A single two-hour session producing one honest answer: what documents does this household hold, and where are they? A coordinator walks through drawers, cupboards and devices with you and writes an inventory you keep.

  • Written inventory with location map
  • Gap list of documents not yet found
  • Plain-language glossary of terms found
  • Scope: one household, 2 hours + 2 days write-up
Heirloom objects arranged on a neutral background for cataloguing
REF 02

Heirloom Cataloguing Programme

A five-session programme for households holding objects as well as papers — jewellery, photographs, books, furniture, letters. Each item receives a reference, a description and a provenance line in the family's own words.

  • Photographed catalogue — printed and digital
  • Reference labels and provenance notes
  • Storage condition checklist
  • Scope: 5 × 2-hr sessions, up to 120 items
Filing boxes and document storage in an organised archive room
REF 03

Estate Records Archive Programme

A four-month programme for families whose paperwork spans decades, properties and several people. The coordinator inventories, separates, scans, indexes, labels and writes — producing a set that any family member can follow.

  • Indexed digital archive on family-owned storage
  • Full orientation document and open-questions register
  • Three family walkthrough sessions
  • Scope: up to 18 sessions across 16 weeks

Questions families ask before writing to us

What does a coordinator actually do during a session? +
The coordinator sits alongside you and works through one container, drawer or device at a time. Every item is noted by category, location, format and condition — but nothing is read for meaning and nothing is interpreted. At the end of the session you have a written list. The coordinator does not offer any view on what documents mean or what you should do with them.
Do I need to prepare anything before a session? +
Nothing at all. Many families contact us precisely because the papers are in a state of disarray and they do not know where to start. You do not need to sort, label or move anything in advance. The programme begins from whatever condition the household is currently in.
Can the sessions be done by video call rather than in person? +
The Records Location Session can be done by video call, where a family member carries the laptop or phone through the space. In-person is generally more thorough for the Heirloom Cataloguing and Archive Programmes because objects need to be held and measured. We discuss this when we respond to your enquiry.
What happens to the scanned files and photographs? +
Everything goes onto storage you own — an external drive you provide or a cloud folder you control. We do not hold copies of your documents or images after the programme closes. You receive a written handover note confirming what was transferred and where.
Will this replace the need for a lawyer or executor? +
No. Our work sits entirely before that appointment, not instead of it. Families tell us that their first consultation with a solicitor or estate administrator goes considerably more smoothly when there is already a clear inventory in hand. We also maintain a written open-questions register throughout — a list of every point we suggest you raise with a qualified professional.
How are fees structured, and is a deposit required? +
Fees are flat per programme, stated clearly in the fee card on our Solutions page. A 50% deposit is requested before work begins, with the balance on delivery of the written output. No additional charges arise for within-scope work. If a household turns out to be larger than originally described, we discuss scope adjustment before continuing.
