How every programme is carried out

1

Written scope

Before any session begins, the coordinator writes down what will and will not be done. Both parties keep this document.

2

Sessions

Work proceeds at the household's pace. The coordinator lists, describes, photographs or labels — nothing more.

3

Written output

Every programme produces a written document — inventory, catalogue or orientation guide — that belongs to the family.

4

Handover

At close, a written handover confirms every file transferred and every output delivered. No copies remain with the coordinator.

Records Location Session

A single two-hour session producing one honest answer to one question: what documents does this household hold, and where are they? A coordinator walks through drawers, cupboards and devices alongside you, records each item by category, location, format and condition, and writes an inventory you keep. Nothing is opened for meaning, nothing is valued, nothing is drafted and nothing is filed with anyone.

Families most often ask for this before an appointment with a qualified professional, so that appointment begins with facts rather than recollection.

WHAT IS INCLUDED

  • Written inventory with category, location, format and condition for each item
  • Location map of the household — which records are where
  • Gap list of document types not found but commonly held
  • Plain-language glossary of terms found in your own papers

PROCESS

1Coordinator arrives or connects by video call
2Works through each container and device with family member present
3Two working days of write-up after the session
4Inventory delivered in PDF and editable format

Scope: one household, 2 hours in person or video call + 2 days write-up

Heirloom Cataloguing Programme

A five-session programme for households holding objects as well as papers — jewellery, instruments, photographs, books, furniture, letters. Each item receives a reference number, is photographed on a neutral ground, measured and described in plain language, then linked to whatever documentation exists for it. The family records what it knows about each object's history in its own words; the coordinator writes that down as a provenance line.

This is descriptive cataloguing and photography only. No appraisal, no valuation for any regulated purpose, no advice on regulated matters, no comment on what should happen to anything.

WHAT IS INCLUDED

  • Photographed catalogue — printed copy and digital file
  • Reference labels for each catalogued item
  • Provenance notes in the family's own words
  • Storage condition checklist for each object

PROCESS

1Each object placed on neutral-ground mat and photographed
2Coordinator records dimensions, materials, condition and description
3Family member describes what is known — coordinator writes provenance note
4Reference label applied and item returned to its location
5Catalogue compiled and delivered in print and digital form

Estate Records Archive Programme

A four-month programme for families whose paperwork spans decades, properties and several people, and where nobody can currently say what exists. The coordinator inventories every container and drive; separates active records from archive; scans and indexes the digital set onto storage the family owns; rebuilds and labels the physical set to one convention; catalogues objects alongside papers; and writes a full orientation document that a reader with no prior knowledge could follow.

Three walkthrough sessions spread the knowledge across the family. A written open-questions register lists every point to take to a qualified professional. Non-regulated administrative work throughout — sorting, scanning, indexing, cataloguing, labelling and writing.

  • Complete written inventory of all containers and drives
  • Indexed digital archive on family-owned storage
  • Labelled and organised physical record set
  • Object catalogue with provenance notes
  • Full orientation document for any reader
  • Written open-questions register

Standards applied across all programmes

PDPA 2010 compliance

Personal and financial data encountered during sessions is handled to the principles of Malaysia's Personal Data Protection Act. Nothing is shared with third parties without written agreement.

Scope set in writing first

The written scope document is a record both parties hold. If something arises that falls outside it, the coordinator notes this but does not proceed until scope is discussed.

Physical handling protocols

Objects are handled with cotton gloves where appropriate. Nothing is moved without the family's knowledge. Fragile items are noted and discussed before any handling.

Digital output on your own storage

All scans and catalogue files are delivered to storage you own. No cloud account, no subscription, no intermediary platform. The files work with any standard software.

Single coordinator per engagement

No handoffs between staff mid-programme. The coordinator who begins is the coordinator who writes the closing document.

Open-questions register

Throughout longer programmes, every matter falling outside scope is noted in writing for the family to bring to a qualified professional.
